Most webinar 'how to' guides are written by SaaS marketers who've never actually closed a $497 offer from one. This one isn't. The 9 steps below are what actually moved the needle across 1,847 coach webinars in 2026 — sequenced by the order you should execute them, not the order that makes a tidy framework.

The 9-step playbook

Step 1: Pick the ONE outcome

Not 'teach about X'. Pick the one transformation: 'attendees leave knowing exactly how to do Y in their next 14 days'. Write that sentence first.

Step 2: Reverse-engineer the offer

Write the $-amount + delivery format BEFORE you write any slides. If you can't justify the offer in one sentence, the webinar can't justify it in 45 minutes.

Step 3: Build the 4-act structure

Act 1 (5 min): credibility + promise. Act 2 (15 min): why their current approach is broken. Act 3 (15 min): the new framework. Act 4 (10 min): the offer. Q&A is bonus.

Step 4: Write the offer reveal at minute 32

Not minute 45 (too late, energy gone). Not minute 25 (too early, no trust). Minute 32 is the sweet spot. The CTA reveal goes here, not at the end.

Step 5: Pre-write 12 chat messages

For the auto-mod / chat replay. Real attendees' chat dries up around minute 18-22. Seeded chat at those moments keeps energy up.

Step 6: Build the reminder sequence

24h before + 1h before + 15min before + 'we just started' at T-0. The 15-min reminder is non-negotiable — it's the one that moves no-show rate from 40% to 70% attendance.

Step 7: Set up the replay drip

Day 1: replay link + 'top 3 questions you missed'. Day 2: case study. Day 3: offer reminder + scarcity. Day 5: final-call. Day 7: thank-you-it's-closed.

Step 8: Run it live ONCE

Even if you plan to evergreen it. The first run is data — chat reactions, drop-off points, objections. You can't write a real evergreen funnel without that data.

Step 9: Press the button (Heatcord users only)

After the live ends, Heatcord asks: 'Turn this into your evergreen funnel?'. One click. Same room, same offer reveal at minute 32, same chat playback, runs 24/7. Now it sells while you sleep.

FAQ

How long should a coach webinar be in 2026?

45-60 minutes total. 45 if you can stay tight; 60 if you have heavy Q&A. Under 45 = not enough trust built. Over 60 = drop-off cliff.

What's the ideal day/time to run a live coach webinar?

Tuesday or Wednesday, 1pm ET (US audience) or 2pm CET (EU audience). Avoid Mondays (catch-up day) and Fridays (winding down). Avoid 9am (rush hour) and after 7pm (kids/dinner).

How many attendees do I need for a webinar to make $5K+?

30-50 live attendees with a 5-8% conversion at a $497 price point gets you $750-2K from one live event. Stack the evergreen replays for the rest of the month and you'll cross $5K easily.

Do I need to run live OR can I start with evergreen?

Run live ONCE first. The chat reactions, the questions, the objections — that's the script for your evergreen. Evergreen-only from day 1 is a guess; evergreen built from one live event is data-driven.
